We will be publishing the GWDAW12 conference proceedings as a special volume of the Classical and Quantum Gravity. All contributed talks and posters are eligible for submitting an article in this special volume. All articles will be refereed according to the Classical and Quantum Gravity policies. Guidelines for authors are available here.
All sessions (plenary and poster) will be held at the conference facilities of the Royal Sonesta Hotel. A more detailed program is posted here. Posters should not exceed a 3ft x 4ft (A0) portrait layout.
In this year's GWDAW, we will be introducing a student prize for the best (most interesting and informative) poster presented by a graduate or undergraduate student. All conference participants will be invited to vote for the best poster through secret ballot. The award winning poster will carry a $300 cash prize for the student(s) that led it.
In order to qualify, a "student poster" will have to be: (a) actually created by one or more students and (b) that student(s) was a primary contributor to the work presented. Non-student co-authors are allowed. When a poster abstract is submitted (see below), authors will have to indicate if it is a candidate for the student prize.
Instructions to presenters:
- Oral presentations: a single computer will be used for all plenary session presentations. You will have to e-mail your powerpoint (preferred) or PDF slides to gwdaw12@MIT.EDU before the start of your session. It is equally fine if you hand-deliver your slides in a USB memory stick or a CD/DVD ROM. This might be necessary if your powerpoint file is extremely big and it has troubles getting delivered over e-mail.
- Poster presentations:
- The "Somerset" suite will be used for displaying all posters. The area will be available to all poster presenters to set up their posters starting at 14:00 on Wednesday, December 12, 2007. You are reminded that we are set up to accomodate up to 36x48 inches (~90 by 120 cm; A0 format is fine) posters
- Poster presenters will have the possibility to QUICKLY advertise their poster during one of the workshop sessions. You must have been contacted already by the session chair where your poster was assigned. If not, please contact gwdaw12@MIT.EDU immediately. You can consult http://gwdaw12.mit.edu/program.html to find out when your poster advertisement is scheduled. We may choose to prepare ONE slide with the title of the poster, author name(s), and a CONDENSED abstract of 40 words or less. If you wish, you can also include up to three lines of text OR one figure (not both). Please send your slide no your session chair no later than the end of the day before your session. This will allow us to assemble all advertisement slides into a single presentation file. During the workshop, you will be able to come up to the front of the room and speak for about a minute while your slide is shown. Note that the purpose of the advertisement is to get people to come find your poster and/or you during the poster sessions and breaks, NOT to try to present orally all the information that is on the poster!
